What this stock transfer note generator does, and what it doesn't

      What it does

      • Makes a complete transfer note: from and to locations, items with code, HSN, batch, quantity and unit, transport details and signatures for both sides.
      • Adds the totals: total quantity, and if you want, rates, value, GST and the value in words.
      • Leaves room for the receiver: a "Qty received" column and a "received in good condition" line to sign.
      • Warns you about GST: if the two GSTINs differ, or the value is over ₹50,000 without an e-way bill number.
      • Stays in your browser. Nothing is uploaded. Download a real Word .docx file or a PDF, styled your way.

      What it doesn't do

      • Replace a tax invoice. A transfer between branches with different GSTINs is usually a taxable supply and needs a tax invoice.
      • Make an e-way bill. Generate it on the government e-way bill portal and type the number here.
      • Update your stock. It makes the document; update the stock register or software at both locations yourself.

      Step by step

How to make a stock transfer note

      1. Number and date it

Give each transfer its own number, and add the type, reason and dispatch date.

      2. Add both locations

The sending and receiving location, their GSTIN and the person in charge at each end.

      3. List the items

Code, item name, HSN, batch or serial, quantity and unit. Add rates if you want the value shown.

      4. Add transport details

Vehicle, driver, LR number, number of packages and the e-way bill number if needed.

      5. Style and download

Pick a style in Design and download Word or PDF. Print two copies.

      6. Sign at both ends

The sender signs at dispatch; the receiver checks the goods, fills in the quantity received and signs.

      Good practice

What a good stock transfer note includes

      A unique number

A running series, such as STN/2026-27/0087, so every movement can be traced.

      Both locations

Full addresses and the person responsible at each end.

      Exact items

Codes, batch or serial numbers and units, so the receiver can match each line.

      Value, when needed

Show rates and value for insurance, transport and e-way bills.

      Received quantity

A column for what actually arrived makes shortages easy to spot.

      Two signatures

Sender and receiver both sign, and each keeps a copy.

      Questions

      Frequently asked questions

Is this stock transfer note generator free?

Yes. There is no sign-up, no watermark and no limit. Everything is made in your browser, including the Word and PDF files.

      Is my data uploaded anywhere?

No. Locations, items, rates and signatures stay in your browser. Your last notes are saved only in this browser, so clearing your browser data removes them.

What is a stock transfer note?

An internal document that records goods moving from one of your locations to another, such as from a warehouse to a store. It lists the items and quantities, travels with the goods, and is signed by the sender and the receiver so both stock records match.

Is a stock transfer a sale under GST?

Within the same GSTIN (for example, two godowns in one state under one registration), a transfer is usually not a supply and moves with a delivery challan or transfer note. Between branches with different GSTINs, such as in different states, it is usually treated as a supply: a tax invoice is needed and GST applies. Check your case with your accountant.

Do I need an e-way bill for a stock transfer?

An e-way bill is usually needed when goods worth more than ₹50,000 move by road, even between your own locations. Some states use a different limit for movement within the state. Generate it on the e-way bill portal and enter the number on this note.

      Should the note show values?

It is optional. Values help with insurance, transport and e-way bills; you can turn them off for a quantity-only note.

      Can I change the design?

Yes. Open Design and pick one of 5 ready-made styles, then change any part: font, size, bold, capitals, text and background colour, alignment, padding, space above and below, and borders. You can also change the margins, table colour, page colour, logo size and position, and page numbers.

Can I download it in Word?

Yes. Download a real Word .docx file with your letterhead, tables and signature, or choose PDF / Print and Save as PDF. Turn on "Background graphics" in the print window to keep background colours.
