      Honest by design

What this quotation generator does, and what it doesn't

      What it does

      • Makes a complete quotation: your letterhead, the customer, validity, items with HSN/SAC, commercial terms, bank details and signatures, on A4 pages you see as you type.
      • Works out the money: line discounts, an extra discount, freight, CGST + SGST or IGST at one or more rates, round off and the total in words.
      • Shows the valid-until date from the number of days you choose, and warns you if the quote has already expired.
      • Lets you style every part: font, size, colours, background, spacing, margins, alignment and borders, with 5 ready-made styles.
      • Stays in your browser. Nothing is uploaded. Download a real Word .docx file or a PDF.

      What it doesn't do

      • Decide your GST rate or whether GST applies. Check the rate for each item and the place of supply with your accountant.
      • Make a tax invoice. A quotation is only an offer. When the customer accepts it, use our Invoice Generator.
      • Send or track quotes. It makes the document; you email or print it yourself.

      How to make a quotation

      1. Number, date and validity

Give the quote a number, pick how many days it is valid for, and add the customer's enquiry reference if there is one.

      2. Add your letterhead and the customer

Type your company details or upload a letterhead image, then add the customer and the person it is for.

      3. List the items

Add each item with HSN/SAC, quantity, unit and rate. Add a line discount or a GST rate where it differs.

      4. Set tax, discount and freight

Choose CGST + SGST or IGST and the default rate, any extra discount and freight. The totals and the amount in words are worked out.

      5. Add the commercial terms

Price basis, delivery time, payment terms, warranty, bank details and your terms and conditions.

      6. Style, download and send

Pick a style in Design, download Word or PDF, sign it and send it to the customer.

      Good practice

      What a good quotation includes

      A clear validity

A date after which the prices no longer hold, so you are not tied to old rates.

      Exact items

Model, size or specification, quantity and unit, so the customer compares like with like.

      Tax shown openly

Say whether GST is included or extra, and at what rate, so the total is not a surprise.

      Delivery and payment

How long delivery takes, what is included in the price, and any advance you need.

      What isn't included

Say that anything not listed will be quoted separately.

      A way to accept

An acceptance line or a request for a purchase order, so you know when the deal is done.

      Questions

      Frequently asked questions

      Is this quotation generator free?

Yes. There is no sign-up, no watermark and no limit. Everything is made in your browser, including the Word and PDF files.

      Is my data uploaded anywhere?

No. Customer details, prices, logo and signature stay in your browser. Your last quotations are saved only in this browser, so clearing your browser data removes them.

      Is a quotation legally binding?

A quotation is an offer. It usually becomes binding only when the customer accepts it, for example by signing it or sending a purchase order, within its validity period. Until then you can withdraw or revise it. This tool is a drafting aid, not legal advice.

How long should a quotation be valid?

It depends on how fast your costs change. 15 to 30 days is common; use a shorter period when material prices move quickly. Choose the number of days and the tool prints the exact valid-until date.

      How is GST worked out?

Choose CGST + SGST when you and the customer are in the same state, or IGST when you are in different states, and enter the default rate. Give an item its own rate if it differs. Tax is worked out on each rate after discounts, and freight is taxed at the highest item rate. The tool does not decide which rate applies to your goods or services; check it with your accountant.

What is the difference between a quotation and a proforma invoice?

A quotation is sent before the order to offer a price. A proforma invoice is usually sent after the customer agrees, to ask for an advance or for import and bank paperwork. Neither is a tax invoice. Use our Proforma Invoice Generator for that step.

      Can I change the design?

Yes. Open Design and pick one of 5 ready-made styles, then change any part: font, size, bold, capitals, text and background colour, alignment, padding, space above and below, and borders. You can also change the margins, table colour, page colour, logo size and position, and page numbers.

Can I download it in Word?

Yes. Download a real Word .docx file with your letterhead, tables and signature, or choose PDF / Print and Save as PDF. Turn on "Background graphics" in the print window to keep background colours.
